The International Biogeography Society is seeking two, part-time administrative assistants to support the work of the Administration, Membership Services and Editorial Assistant (AMSEA) from August 2021. It is expected that these will be temporary, part-time, contract positions (with the possibility of extension) usually 10-20 hours per week, but available up to full time during the following periods:  September 12-19, October 12-24, 2021 & January 1-12, 2022.

The post-holder(s) will report to the AMSEA and be responsible for providing her with support in all aspects of the work involved in running the busy IBS office and delivery of IBS on-line and in person workshops, conferences, and web-based activities.

Key responsibilities and tasks will vary, but may include the following:

  • Virtual & In-person Events organization & management (Humboldt Day, ECBC Amsterdam Meeting, IBS Vancouver 2022)
    • Answering emails & questions associated with these events
    • Providing Lead Tech help during virtual events
    • Overseeing the virtual event committee
    • Help in training volunteers/committees leading the conferences (Amsterdam, Vancouver)
    • Key support for virtual events the week of all meetings (September 12-19, October 22-24, January 8-12)
    • Creation of certificates of attendance & visa invitation letters
  • Data Cleaning
    • Collate data on meetings and membership
    • Assistance in the IBS Fellows initiative
  • Website maintenance & updating (WordPress)
  • Writing & Design of following outlets
    • Social Media Posts
    • Wikipedia
  • Assist with Flyers, advertising, design of abstract books/pocket guides
  • Frontiers of Biogeography article tracking, communication, and cross-checking for formatting
  • Board Document write ups – preparedness & procedures
  • Meeting minutes
  • Membership & Meeting registration
    • Support in registration site set up (Vancouver) – Virtual & In-Person
    • Support in membership registration
    • Data curation

Essential requirements:

  • Virtual meeting organization
  • Writing skills (high level of oral and written communication)
  • Knowledge of WordPress and other web-based packages
  • Ability to work with a wide-range of stakeholders and partners for the successful delivery of on-line and in-person events

Desirable requirements:

  • Data visualization/analytics
  • Design skills

Founded in 2001, the International Biogeography Society is a non-profit, scientific society based in the US, but serving the international biogeography community.  Our mission is to foster communication and collaboration between biogeographers in disparate academic fields, increase both the awareness and interests of the scientific community and the lay public in the contributions of biogeographers, and promote the training and education of biogeographers so that they may develop sound strategies for studying and conserving the world’s biota.

Length of position(s):

These positions are expected to last approximately 16 weeks, with the possibility of extension (dependent on performance and workload needs)
